Sign in to CoverageTrackr

Access your assigned programme workspace securely with your CoverageTrackr username and password.

  • An active CoverageTrackr account

  • A supported web browser and internet connection

Open the sign-in page

Go to your organisation's CoverageTrackr web address. The sign-in page displays fields for your username and password.

Enter your assigned credentials

Enter the username and password provided by your administrator. Passwords are case-sensitive, so enter uppercase letters, lowercase letters and symbols exactly as supplied.

Note: Never include a password in a screenshot, email or support message. If you think it has been exposed, ask an administrator to reset it.

Select Login

Select Login once and wait for CoverageTrackr to load your programme. Your landing page and available modules depend on your assigned role.

Confirm the active programme

Check the programme name at the top of the page before starting work. If you have access to more than one programme, select the correct programme before creating or editing records.

Done. You are signed in and can see the modules available to your role.

If something goes wrong

The sign-in page says the credentials are invalid.

Re-enter the username and password carefully. If the message continues, contact your organisation administrator to confirm the account is active.

The page remains on “Signing in…”.

Check your connection, wait briefly, then reload the page and try once more. Avoid selecting Login repeatedly.

Field activities

Find and review field activities

Use the Field Activities workspace to locate activities, understand their status and choose the appropriate action.

Open Field Activities

From the left navigation, expand Coverage Tracking and select Field Activities. The page shows the total number of activities and a list of activity records.

Search for an activity

Use the search field to look up an activity by name, type or status. Keep the search short and specific: for example, enter a distinctive part of the activity name.

Apply filters or change the view

Select Filter to narrow the results. Use List View for a compact table or Grid View for a card-based layout. Adjust the Rows control when you need to see more results on one page.

Interpret the activity status

Draft activities are still being configured. Published activities are available for use according to their deployment. Unpublished activities are retained but are not currently available to field users.

Choose an available action

Use View to inspect an activity. Depending on the status, CoverageTrackr may also offer Edit, Update Teams, Publish or Unpublish. Disabled controls indicate that the action is not valid for the current status.

Note: Deleting, publishing and unpublishing change the activity for other users. Confirm that you are working in the correct programme before using these actions.

Done. You can locate an activity and identify the actions available for its current status.

If something goes wrong

An expected activity does not appear.

Clear the search and filters, confirm the active programme, and check the next results page. Your role may also limit which activities you can see.

Edit is disabled.

Published activities cannot be edited from the list. Review the activity and follow your programme's change-control process before unpublishing it.

Field activities

Create a field activity

Start an Enumeration, Validation, Service Delivery or Pre-Enumeration activity and prepare it for deployment.

  • An activity name, description and operating dates
  • A prepared form or permission to create one
  • The required deployment areas and teams

Start a new activity

Open Coverage Tracking → Field Activities, then select Create New Activity. CoverageTrackr opens a guided setup process.

Enter the activity details

Enter a clear activity name and description. Choose the activity type: Enumeration, Validation, Service Delivery or Pre-Enumeration. Set the start and end dates and enable Location when the workflow should collect location information.

Select the form

Select Next to continue to Form Selection. Choose the form field users will complete. If the required form does not exist, return to Form Builder and create it before continuing.

Configure deployment

In Deployment, select the administrative areas and operational units where the activity will run. Review the selection carefully because it determines the activity's geographic scope.

Assign teams

In Team Assignment, assign the responsible users or teams to the selected deployment units. Ensure every required area has an owner before moving on.

Configure payment settings

Enter the daily target and any applicable stipend, data, transport or hardship allowances. Select the condition that determines when each allowance is earned.

Add the approval workflow

Add each review stage, give it a clear name, and select the responsible user or role. Keep the sequence aligned with your programme's approval process.

Review before publishing

Save the activity as a draft and review its form, scope, team assignments and dates. Publish only when it is ready to become available to the intended users.

Note: Publishing has an immediate operational effect. Use a draft for review and obtain the required approval before publishing.

Done. A new activity is configured with its form, deployment and team settings, ready for review before publishing.

If something goes wrong

Next reports that required fields are missing.

Check the activity name, type, description, dates and any type-specific control shown on the page. Required information must be complete before the next stage is enabled.

The required form is not listed.

Confirm that the form exists in the active programme and is not already restricted by another workflow. Create or update the form in Form Builder if needed.

Create a reusable form, add questions, configure field properties and preview the experience before saving.

Open the Forms library

Under Coverage Tracking, select Form Builder. The Forms page lists existing forms, linked activities, creation dates and available actions. Search first to avoid creating a duplicate.

Create a new form

Select Create New Form and replace Untitled Form with a meaningful name. The builder opens with a question-type panel, a form canvas and a properties panel.

Add pages, sections and fields

Use Add Page and Add Section to organise longer forms. Add a field from the Basic or Advanced question types. Available types include Text, Long Text, Number, Date, Phone Number, Select, Multi Select, Radio Button, Image, Lookup and Location.

Configure the selected field

Enter the Field Label and review the generated Field ID. Add a description or placeholder when it will help field users. Enable Required only when the question must be answered, and set the column span or default value when appropriate.

Note: Field IDs are backend identifiers. Keep them lowercase and use only numbers and underscores, as indicated in the builder.

Add logic where necessary

Use the Logic tab for conditional behaviour. Keep branching rules simple and test each path so users never reach a dead end or miss a required question.

Preview the form

Select Preview and test the form as a user would. Review labels, required markers, navigation and the JSON Structure when a technical review is needed. Close Preview to return to editing.

Create the form

When the preview is correct, select Create Form. Return to the Forms library and confirm the form appears before linking it to an activity.

Done. A reviewed form is available for linking to a field activity.

If something goes wrong

The field ID contains unsupported characters.

Use lowercase letters, numbers and underscores only. Remove spaces and punctuation before saving.

A form cannot be edited as expected.

Check whether the form is linked to a published activity. Changes to an operational form may be restricted to protect existing submissions.

Microplanning

Create a microplan

Define a microplan and progress through form, indicator, deployment, team and approval settings.

  • Signed in with microplanning access
  • A microplan name, description and operating dates
  • The required form, indicators, deployment areas and teams

Open Microplanning

Select Microplanning in the left navigation. Search the existing microplans first, then select Create Microplan when a new plan is required.

Enter the microplan details

Enter a distinctive Microplan Name, an explanatory description, and the start and end dates. The dates should cover the period in which teams will use the plan.

Select the form

Continue to Form Selection and choose the data-collection form the microplan will use.

Add indicators

In Indicators, name each measure and map it to the matching field in the selected form.

Configure deployment

Select the administrative areas and deployment units included in the plan. Confirm that the scope matches the intended campaign geography.

Assign teams

Assign the responsible teams or users to the selected units. Resolve any unassigned areas before proceeding.

Set the approval workflow

Add the required approval steps and responsible roles. Review the completed configuration before publishing the microplan.

Note: Publication makes the plan operational. Validate the form, indicators, deployment and team assignments first.

Done. A microplan is configured for the selected operating areas and teams, ready for review and publication.

If something goes wrong

Next is unavailable or reports missing information.

Complete every required field marked with an asterisk and check that the end date is not earlier than the start date.

A deployment area or team is missing.

Confirm the active programme and ask an organisation administrator to verify that the geography, users and teams have been configured.

Monitoring

Read the coverage monitoring dashboard

Use geographic filters, summary indicators, map layers and data tables to understand programme coverage.

  • Access to Coverage Tracking → Dashboard

Open the dashboard and allow it to load

Under Coverage Tracking, select Dashboard. The map and indicators may take a few moments to load, especially on a slower connection.

Set the geographic scope

Use the LGA Name, Ward Name, Facility and Settlements selectors across the top. Start with the broadest level and move to a narrower level so each selector reflects the preceding choice.

Read the summary indicators

The cards across the top provide headline totals. Read each label together with its value and confirm the selected geography before comparing figures or reporting them.

Interpret vaccination status

Use the Enumeration Vaccination Status legend to compare categories such as fully vaccinated, never vaccinated, under-immunised, vaccinated to age and zero dose. The legend colours correspond to the dashboard visualisation.

Explore the map

Use the map controls to zoom and inspect the selected area. Map symbols and coloured outlines represent locations and status information; use the legend as the reference when interpreting them.

Review the supporting tables

Use the tabs along the bottom (Map, Building Table, Household Table, Children Table and Health Facility Table) to move from the geographic overview to supporting records.

Note: Dashboard results reflect the selected programme and filters. Record those selections when sharing a figure so others can reproduce it.

Done. You can filter the dashboard and interpret the headline coverage and operational indicators.

If something goes wrong

The dashboard remains blank or shows loading indicators.

Wait for the map and cards to finish loading. If they remain blank, check the connection, reload the page and confirm that the selected programme contains dashboard data.

A lower-level location cannot be selected.

Choose the preceding geographic level first, for example select an LGA before selecting a Ward.
